    About the role:

    The Project Coordinator/Client Services support person will provide high-level administrative support to the executive team.  A key function of this role will be to coordinate, implement, execute, control, and complete various projects and processes.   This role will help maintain administrative, technical (IT) and creative tasks for a team that typically works remotely and is often traveling.  The selected candidate may spend time Client facing and therefore must possess excellent written and verbal communication skills, in a manner that is both professional and fun. Having production company or agency experience could give the candidate additional opportunities but is not a requirement.



    What you’ll be doing:

    The scope of responsibilities will include, but are not limited to:


    Project Management

    • Create and execute project work plans and revise as appropriate to meet changing needs and requirements
    • Support in managing and new business opportunities
    • Drive demonstrations/presentations for both internal and external audience (potential partners/clients)
    • Reviews materials prepared by team before passing to client
    • Manage Project folders – ensure all templates are kept up to date
    • Maintain and communicate schedule of project phases/key dates/milestones
    • Assist in vendor research and schedule capabilities presentations




    • Point of contact for building management
    • Manage calendars and scheduling requests for executives’ time by answering questions and executing requests
    • Schedule various meetings, internally and externally
    • Liaise with internal Operations team regarding processes
    • Assist various client teams with creation and design of PowerPoint presentations
    • Maintain and ensure all projects are entered in a timely manner
    • Data entry and validation of detailed data
    • Assist executives and team with travel research, coordination and booking


    Human Resources

    • Assist the Human Resources team to support Client Services initiatives
    • Manage Shadow Program for new Client Service hires
    • Maintain Global Team Rosters


    What you’ll need to succeed

    • Project management skills
    • Advanced PowerPoint and Excel skills
    • Strong communication skills and attention to detail
    • Self-driven, proactive, and naturally resourceful
    • Ability to meet tight deadlines and multi-task in a fast-paced environment
    • Excellent time management skills  working across multiple time zones
    • Strong client-service orientation and cultural awareness in a global organization
    • Ability to identify, analyze and solve problems while working  independently or in a team orientated environment
